How to Send a Job Application Email in Kenya (Format + Samples)

A job application email has four parts that are each judged before your CV is ever opened: the sending address, the subject line, a short professional body, and correctly named PDF attachments — and most Kenyan applications fail on these four, not on qualifications. HR officers processing hundreds of emails filter ruthlessly: wrong subject formats are auto-sorted into oblivion, unprofessional addresses colour everything after, and “see attached” bodies read as effort-free. Here is the format that survives the filter.

The four parts, done correctly

1. The sending address. firstname.lastname@gmail.com or close to it. Create one for job-hunting if your current address is a nickname — recruiters admit the address shapes the first impression, and bad_boy_ke@ has ended applications before the subject line.

2. The subject line. If the advert specifies a format (“Quote the job title and reference in the subject”), reproduce it exactly — many employers filter inboxes by that string, and deviations never reach human eyes. If no format is specified: Application for [Job Title] – [Reference] – [Your Name]. Never blank, never “JOB”, never “CV”.

3. The body. Use three short paragraphs—a compressed version of your application letter, not the whole letter pasted and not a bare “kindly find attached”. You can generate the letter and matching email, then check the role, company, evidence and contacts before sending.

4. The attachments. Application letter and CV as separate PDFs — Jane_Otieno_Application_Letter.pdf, Jane_Otieno_CV.pdf — under 2MB combined. Certificates only if the advert asks (then as one combined PDF, not eleven images). Attach before writing the body; the “forgot attachment” follow-up email undoes the professionalism it apologises for.

Sample 1 — Standard application email

Subject: Application for Accounts Assistant – Ref FIN/2026/11 – Brian Kiprop

Dear Ms. Wanjiru,

I wish to apply for the Accounts Assistant position (Ref: FIN/2026/11) advertised on JobsInKenya.ke on 15 August 2026. I am a CPA Section 4 candidate with two years’ accounts-payable experience at [Company], where I process 300+ supplier invoices monthly and reconciled our top-20 supplier statements to zero variance for the last year.

My application letter and CV are attached. I am available for an interview at your convenience and can be reached on 0712 345 678.

Kind regards, Brian Kiprop 0712 345 678

Sample 2 — When the advert asks for a cover letter in the email body

Some adverts (especially NGOs and startups) say “send your CV with a cover letter as the email body”. Then the email is the letter — use the cover letter structure directly in the body, attach only the CV, and keep it under 250 words.

Sample 3 — Follow-up email (one week after the deadline)

Subject: RE: Application for Accounts Assistant – Ref FIN/2026/11 – Brian Kiprop

Dear Ms. Wanjiru,

I am following up on my application for the Accounts Assistant position submitted on 16 August. I remain very interested in the role and available for the next steps at your convenience. Thank you for your time.

Kind regards, Brian Kiprop · 0712 345 678

One follow-up, sent as a reply on the same thread (so your original application surfaces with it), a week after the deadline or the promised feedback date. More than one reads as pressure.

The mistakes that get emails deleted

The recurring fatal errors, from recruiters themselves: mass-mailing visibly — twenty employers in To/CC exposes everyone and deletes you everywhere; use one email per employer, always; wrong employer names surviving from the last application — the email equivalent of calling someone by an ex’s name; empty bodies with attachments — filtered as suspicious and lazy; Word attachments when PDF wasn’t excluded — formatting breaks and tracked changes leak; replying to no-reply addresses or ignoring the advert’s stated address; late-night unprofessional tones (“Hey, saw ur advert…”) — the register is business-formal even on email; and attachment bloat — 15MB of phone-photographed certificates nobody requested. Each of these is fixed by sixty seconds of care, which is exactly the trait the employer is screening for.

Managing your job-search inbox

The application email is half the system; the inbox is the other half. Set up three habits: a dedicated label/folder (“Job Search 2026”) into which you move every application sent and every response — with Gmail’s search, this becomes your application history for follow-ups and interview prep; daily spam checks during active applications, because portal-generated interview invitations land in spam constantly, and a missed invitation is an interview lost silently; and a tracker (a simple sheet: date, employer, role, reference, status, follow-up date) so your one-week follow-ups fire on time and you never re-apply to the same role embarrassingly. When an interview invitation arrives, reply the same day confirming attendance — the confirmation’s speed and tone are already being read as evidence of how you’ll treat customers.

Frequently asked questions

What time should I send a job application email?

Within 24–48 hours of seeing the advert — speed matters more than clock time in Kenya’s rolling-shortlist culture (why applying early wins). If composing at 2am, use schedule-send for 8am; a mid-morning timestamp reads better than a small-hours one.

Should I use my phone to apply?

You can — Gmail mobile handles it — but check the attached PDFs open correctly on the phone first, and never let autocorrect casualise the text. For senior roles, a computer pass (or cyber café) for final review is worth it.

How do I know the email arrived?

You mostly won’t; Kenyan employers rarely acknowledge. Send from an account you check daily (including spam — interview invitations land there), and keep a simple tracker of what you sent where and when, which also powers correct follow-ups.

The advert asks for one PDF containing everything — how?

Combine letter, CV and requested certificates into a single PDF, in that order, using any free PDF-merge tool, named YourName_Application_[Role].pdf. Follow the instruction exactly — combined-PDF requests are usually feeding a portal or a printing process, and separate files break it.
